Duties and Responsibilities:
1. Admin/Secretariat Duties:
a. Answers, screens and directs phone calls to appropriate and concerned personnel, taking messages and provide information to queries including questions from on-site visitors and guests;
b. Receives, sorts, records and determines action required, including the distribution of all incoming and outgoing correspondences and other forms of communications and procurement documents to cognizant supervisors, employees and concerned Offices/Departments especially those that need immediate action. Also includes maintaining a logbook of all incoming and outgoing correspondences;
c. Takes charge in the preparation of monthly Daily Time Record (DTR) of PPMD personnel which includes checking, reviewing and ensuring that corresponding leave applications are attached and preparation of summary of attendance for submission to the Office of the Senior Deputy Administrator for Support Services;
d. Schedules and manages calendar of activities such as organizing appointments and meetings for the Manager and Supervisors and updating the personnel with agency events and activities which includes updating bulletin board postings;
e. Organizes and maintains physical and electronic copies of documents such as Personnel 201 files, contract lists, supplier information and other record for easy retrieval of documents;
f. Prepares summary of attendance for submission to the Office of the Senior Deputy Administrator for Support Services; and
g. Consolidates the Procurement Division Monthly accomplishment report
2. Other Duties under Coordination Section / Account Officer:
a. Receives Purchase Order/Contract Agreements from the Purchasing Section and coordinate with the winning suppliers/contractor for contract implementation;
b. Validates status of the Purchase Order/Contract Agreements with the Receiving Section and coordinates required documents with the end-users for payment; and
c. Assists with any other administrative and miscellaneous tasks as assigned by Supervisors or Managers

Fully accomplished Personal Data Sheet (CS Form No. 212, Revised 2017) with recent passport-sized picture, thumbmark and signature, and Work Experience Sheet (Attachment of CS Form No. 212) which both can be downloaded at www.csc.gov.ph using MS Word and affix signature (to be converted to PDF file format);
3. School Transcript of Records and Diploma of the highest educational attainment;
4. Certificate of Employment attesting the relevant experience held from authorized official/s (current, previous employment or jobs including volunteer work on a full time basis)
5. Relevant Training Certificates; and
6. Certificate of Civil Service eligibility and/or valid applicable License, if any.
